Creator Operations: projects with creators, from brief to published

An add-on for agencies, brands and creators that run campaigns: a project holds the brief, the creators you engage, what each one agreed to deliver, and every deliverable from planned to published. The same projects open in EmailPro and in Brand My Inbox, one license for the workspace.

Steps

  1. Open CRM → Projects. The board shows every project in a column per status; switch to Table for a list.
  2. New project: give it a name, dates and the currency every line in it will use.
  3. Inside the project, write the brief: goals, audience, key messages and constraints. Save.
  4. Add a creator: choose one you already have or create a profile. A creator is a contact, so an address that is already in your CRM gets the profile on that same contact.
  5. Under each creator add the lines they deliver (what, how many, by when), and from a line add its deliverables.
  6. Move each deliverable along: start work, submit for approval, then approve or ask for changes, and mark it published. The engagement, contract and payment status of each creator are cells you can change.

Questions

What does "Someone saved this before you" mean?
The project was changed after you opened it, by a colleague, in the other product or through an integration. Nothing was overwritten and what you typed stays in the form. Press Load the latest, check, and save again.
Do I see changes made in the other product?
Yes. Both products read and write the same projects. An open screen checks for changes about every 30 seconds and refreshes the records that changed.
How do I get the add-on?
It is not on sale yet: the price has not been decided. Our team can switch it on for a workspace; contact us. Until then the Projects tab shows what it does.
What happens if the add-on ends?
Nothing is deleted. You can still read every project and close out work already in progress, such as approving a submitted deliverable or completing a project. New projects, creators and deliverables need the add-on active.
Where are the prices of each line?
Under each line, for the roles the workspace owner allows to see costs. See "Agency operations" for rates, budgets and what the agency owes.
Can an AI assistant or an integration use it?
Yes, to read projects and deliverables and to prepare drafts (a project, a creator profile, an engagement). Nothing approves a deliverable, signs or pays on your behalf.
What does Prepare this action do on a recommendation?
Under Project attention, a recommendation can be turned into one exact action: a follow-up task on the project, or an internal note on the deliverable that brands and creators in the portal never see. You write the title or the note. The preview shows the source record and version, what is true now, what will be true after, that only you can run it, until when it is valid, and that it costs no credits and no AI model calls. When you run it, your access and the project version are checked again; if the project or the recommendation changed, nothing is applied. Running it twice does not do it twice. Sending, publishing, approving work and payments are never part of a prepared action. An AI assistant or an integration can only see the preview; it cannot prepare or run it.
How do I see what a prepared action led to?
Open Prepared actions on the project and choose Trace on one of them. It shows six steps in order: the request (a recommendation on the project), the plan (which step, on which project version), the approval (you ran it, cancelled it, or it expired), the tool (each step done, skipped or failed), the effect (the record it wrote) and the outcome (what that record says now). For example: a follow-up task was created yesterday from an overdue deliverable, and today the trace shows the task as overdue and names the task owner as the next step. The outcome is what the record says now, not proof that the action caused it. It also says why a run stopped and what preparing it cost. The trace shows ids, codes and counts only, never the titles or notes you wrote. The list shows the actions you prepared. An owner or admin can read anyone's trace by its id through the API or an AI assistant with audit access, only on projects they can open. Download gives the same data as a file. An AI assistant with audit access can read the same trace.
