The client portal: what your client sees, and only that
Your clients and outside workers sign in to one portal with a link by email, no password. They see what waits for them, their projects, the milestones you shared, their tasks, shared files and the work waiting for their approval. Everything is private until you share it, and nobody outside is ever a member of your workspace.
Steps
- Open Projects, then Portal access. Invite a person with a role: client admin (every project of their company), client member or viewer (the projects you choose), client accounting, or outside worker (only the tasks and folders you share).
- Inside a project, Shared with the client lists its milestones, tasks and folders. Each one is private until you press Share and choose with whom. The first share of a project asks you to confirm.
- Add a shared folder and put the project's documents in it. A client can download them, and upload files that are checked for malware before they are kept.
- Preview as the client shows exactly what they see now, built from the same answers the portal gives.
- In Portal settings choose the modules the portal shows, your logo, an accent colour and the default language. Hebrew opens right to left.
Questions
- What can a client never see?
- Internal money (budgets, costs, fees, margins), internal hours, internal notes, other clients and your team beyond what you share. No role can be given these. The portal builds each answer from a list of allowed fields, and a test fails when a new field is not classified.
- Can my client invite colleagues?
- A client admin can invite colleagues from their own company's email domain only, as a member or a viewer. You can switch this off in Portal settings.
- Do outside workers cost extra?
- No. Each workspace has 5 free outside workers. They see only the tasks and folders shared with them: no money, no contacts, no project pages.
- How does a client add a task to their calendar?
- On the task, Add to my calendar downloads a calendar file that works in Google, Outlook and Apple Calendar, with no account to connect.
- Can an AI assistant invite or share?
- It can propose. On the EmailPro MCP, portal_invite and portal_share_item create a pending invitation or share that nobody outside sees until a person confirms it here. portal_access_list and project_client_view read.
- What comes later?
- Messages, invoices and payments, what to sign and service tickets are in the portal now (see Client portal messages, invoices and tickets). Meetings and a portal address on your own domain come in later stages.
