Client portal messages, invoices and tickets
Your client writes to you in the portal, about a project or any other subject, and the message lands at once on the project, on the contact's history and in your team's inbox. The portal also shows the company's invoices and what to pay, what waits for their signature, and their service tickets. An internal note always stays with your team.
Steps
- Open a project and go to Client messages, or open Projects, then Portal access, for every conversation. A client's new message is assigned to the project's owner and starts the same response clock as a ticket.
- The composer starts on Internal note, drawn in amber: only your team sees it. Choose Message to the client, drawn in blue, to answer the client. The first message to the client in a conversation asks you to confirm.
- Each message to the client shows whether the client has seen it. The client sees when your team has read theirs.
- The client is told by email in their language, at once or in a daily summary, as they choose under Notifications. WhatsApp is added only when you set an approved template that is not marketing, in Portal settings, and the client asks for it.
- Invoices: a client admin and client accounting see the company's invoices, the open balance and the history, pay through the payment link you created, and download the tax invoice.
- To sign: the company's signature requests are listed, and only the person a request is addressed to opens the signing page from the portal. Tickets: the client opens, answers and marks as solved; your internal notes on the ticket are never shown.
Questions
- Can an internal note reach the client by mistake?
- No. The client's portal reads only messages written for the client, and a note is never read for it. Every message is internal unless you choose otherwise, and the first client message in each conversation asks first.
- Can an AI assistant answer my client?
- It can draft. On the EmailPro MCP, portal_message_draft writes a draft that the client does not see and nobody is told about until a person on your team sends it from the conversation. portal_messages_list reads the conversations, notes labelled.
- Where do the client's messages show?
- On the project, on the contact's history under Client portal, and in the shared inbox as the Client portal channel, with assignment, snooze and done like every other channel.
- Who sees the company's invoices?
- The client admin and client accounting. Accounting sees invoices only. Members and viewers do not see money. Invoices, what to sign and tickets are switched for the whole workspace in Portal settings.
- Does the signing link in the email still work?
- Until the signer opens the request from the portal. The portal opens it with a fresh link, so exactly one link works at a time.
- Can my client attach a file?
- Yes, on a conversation. Every file is checked for malware before it is kept, and opens only for the people who read that conversation.
