Projects: a plan, milestones and a health you can trust
Every EmailPro plan has projects: for a client, a retainer, an onboarding, a campaign or internal work. Each project has phases, milestones, tasks and subtasks, dependencies that warn when they slip, a timeline, and a health worked out from the records, never set by hand.
Steps
- Open Projects in the main menu. Switch between Board and Table.
- New project: give it a name, a kind and dates. A starter template (a client website, a customer onboarding, a monthly retainer, an annual report, a campaign launch or an internal initiative) opens it with its phases, its milestones in order and its first tasks.
- Inside the project, the Plan holds each phase with its milestones and tasks. Add a milestone, choose what it waits for, and add subtasks under a task.
- When something is planned to start before what it waits for is done, the plan says so under Dependencies that slip. Nothing is moved for you: you decide whether to change a date.
- Switch the plan to Timeline to see the phases, milestones and tasks on one line, with today marked.
- The health beside the project's name is green, orange or red, with the reasons under it: late milestones and tasks, blocked items, things waiting on the client for over a week, and the budget against what was committed when your role may see money.
Questions
- How many projects does my plan hold?
- On the free plan, and in a workspace that has only the CRM, up to 5 projects are open at once (draft, active or on hold). Closing a project frees its place. Paid plans and the creator pack have no count limit. Nothing is deleted or hidden when a workspace is over the limit: only opening one more is refused.
- Does the client see my milestones?
- Not unless you choose. A new milestone is private. Tick Shared with the client on a milestone to show it in the client portal. An AI assistant or an integration can add and change milestones, but it can never share one with the client.
- Can I set the health by hand?
- No. It is worked out every time from the dates, the dependencies, what waits on the client and the budget, so it cannot drift from what is really happening.
- What does the creator pack add?
- Creators and their engagements, deliverables and client review, the portal for brands and creators, commerce and commissions, and the agency setup. Projects, their plan, team, hours and budget are in every plan without it.
- Can an AI assistant use it?
- Yes. On the EmailPro MCP, project_plan, project_milestones and project_health read the plan, and project_milestone_create and project_milestone_update draft and change milestones with the version you read.
